How to start MSK ultrasound seminar.

It’s time to take my show on the road. It require you to create and market my own seminars for public, clinics, doctors, medical centers, hospitals, radiologists, physiotherapists, chiropractors, sport medicine, and OB/GYN doctors. Top of Form

The seminar business is big these days, in demand by individual consumers, organizations, associations, small businesses and giant corporations alike. Although it’s a fairly young industry, having only come into its own within the last two decades, it’s primed for continued growth and success especially in the medical field.

 Introduction

Every year, hundreds of thousands of people pay to attend meetings, seminars, workshops and training programs where professional presenters encourage, enlighten and Some of these folks are sent by their companies to learn new skills, everything from time management to basic math smarts to super sales techniques and ultrasound. Others attend on their own, seeking personal growth on how to do skills, learn new techniques, manage stress; assert themselves; or invest for the future. Still others sign up for seminars and workshops as part of a professional or social association to learn new skills.

Operating Modes

As a seminar promoter , you can choose from among three different operating modes. You can:

Act as a speaker, trainer or presenter. Work directly with your audiences and booking your programs on your own or through a speakers bureau (which is sort of like a talent agency). I will handle the 2 days seminar for you, 4 lectures in the morning, 3 lectures after lunch. After seminar there will be ultrasound demo.

On the 2nd day 4 lectures in the morning and 3 lectures after lunch, and then leave a spot for Q & A (questions and answers) for 1 hour, and 2 hours on ultrasound hands-on demonstration so I can show them how it works.

Do You Have What It Takes?

Not everybody is cut out to be a seminar production promoter. This is not, for example, a career for the creativity-challenged. It takes lots of foresight to figure out what will be a winning program, to design and construct it so it sells, and to promote it effectively, make money and help others in the same time.

In my case the MSK ultrasound will be a big sale out.

Seminars must be planned and organized months in advance, with everything from the topic and speaker to the dining reservations nailed down early on.

We must be able to keep an audience interested and entertained for the length of our seminar and beyond. This doesn’t mean and I will select interesting topics and send you the list.

Target Market

Who will attends our seminars? All sorts of people who hope to gain all sorts of insights.

Don’t underestimate the benefits of targeting advertisement in small local groups that have nothing to do with business or medicine. senior centers, and men’s and women’s clubs can make terrific audiences along with singles clubs, single parents’ groups, local sports clubs, civic organizations, networking groups, writers’ groups, book clubs and garden clubs, clinics, medical centers in your area, hospitals in your country and city with focus on radiologists, sonographers, physiotherapists , chiropractors in your areas, Fetal medicine and obs/ gyn doctors, etc.

Another valuable and voluminous market is the universities and colleges, try to advertise in the medical school and physiotherapy school etc.

 Choosing Your Seminar Topic

The best way to start is by thinking about what your customers wants , I think the MSK ultrasound will be the best way to start.

I will send you the topics that I will cover for 2 days and the theme of the convention seminar. it will be well-defined topic, must address our audiences’ wants and needs. That’s why I think MSK ultrasound IS THE BEST as it cover wide range of need from Arthritis, joint pain, muscular and back pain, shoulder, elbow and wrist pain, carpel tunnel, hip and knee pain, foot and ankle joint etc. with half day OBS/GYN to flavor the topics and add some verities . I will present 12 lectures to cover the 2 days.

Start up Costs

One of the Catch-22 s of being in business for yourself is that you need money to make money. In other words, you need start up funds. For the seminar business, these costs can be covered by advertiser try to put advertisements in your procures. Try to ask the ultrasound companies to bring their ultrasound machines as our seminar will cover ultrasound topics and ask them to pay for slot. Each ultrasound company can pay up to 2000 dollars per spot , and have to sponsor something like one company sponsor the breakfast, other the lunch first day and so on for the next day, other can sponsor the hall, the bus fair to airport etc. We do that here in Canada.

You can ask those companies such as TOSHIBA ULTRASOUND, GE ULTRASOUND, VINGMED, ECOSON, DIASONICS, HITACHI, PHILLIPS, ALOKA, ATL, AUCSON. Send them an emails and letters out line our seminars and the benefits. I will send you some of those addresses.

There are many of ultrasound companies in Holland, you can ask for the address in the chamber of commerce, e-mail them and ask them if they are interested to be one of the sponsor of the seminar and discuss the price for the slot and what they can sponsor in the event. Also to bring ultrasound machine so I can make a demo and that will help them to advertise.

Make sure that the hotel you book is give a discount price and also give you 5 to 10 % from the reservation fees.

You might need

  • computer system with power point , 2 projectors .
  • fax machine
  • internet/e-mail service
  • website design and marketing
  • electronic credit card processing so you can take registry payments , payments for the course, hotel and the site seen tour. For the hotel they can also deal with it directly given your code number so the hotel know that this client is with us and they can give him discount and also keep your money aside.
  • Phone , e-mail address and contact all included in the booklet and the advertisement
  • I will also send you a complete course material on flash drive

So you have to copy and make many flash drives to give to each attended of the seminar in a nice bag, you can ask to buy the flash drives on bulk from a supplier at cheep coast if you order allot, Ultrasound companies may pay for that you have to ask the major ultrasound company sponsor, that they have to give let say 500 bags for the course material with their logo on it as advertisement and see if they can come up with flash drives also. .Other companies can donate pens, pads and lots of stationery and gifts on site as advertisement too.

 Operations

Like baking cookies, hosting a sit-down dinner for 12 or adding a new bathroom to your house, when you produce a seminar, you need to plan ahead. It’s wise to start planning as early as possible. Ideally four to six months before your program. But it all depends on a lot of variables. Take a look at the seminar countdown below as example.

Countdown Item 1: Get With the Program

One of your most important tasks as a seminar promoter will be to design your program. If you haven’t got a seminar, you’re not going to get very far. You did a lot of the design work when you did your market research, choosing your target market and whittling down your niche to the one that best suits both your audience and you. Now it’s time to get down to specifics, like who will present your opening day, who is the moderator, who will help in power point and projector and record the lectures , who is the front desk clerk and hostess etc. I will send you the topics , theme and time for each lecture for the 2 days seminar.

I WILL handle the 2 days presenting of all topics. 10 lectures.

  • Ultrasound companies can pay for the advertisement as long as you include their names in our lectures and we will.
  • Packaging time. You’ll also need to decide how long your program will run. I think 2 days is perfect .
  • A different crowd. After you’ve decided what time of year you’ll have your seminar, don’t forget the all-important decision: where to host it. Your choices can range from a city park community center to a ballroom or at your university hall.
  • First, realize that your site price will be built into your registration price, so you’re not actually “paying” for the hotel or conference site all on your own, although you will have to pay an upfront deposit before you’ve garnered all your registry ticket sales. But even if you build your hotel facility into the cost of your tickets, you’ve still got a lot of decisions to make. Be sure to consider compatibility (choose a site that’s a good match with your participants and your subject matter) and location (if you have lots of out-of-town participants, you’ll want a site that’s easily accessible from airports and interstates). Make sure you have front clerk for registry, good seating, companies sponsor the food and drinks, we can mention the name of those companies in our lecture as credit to them so they can be part of your advertisement
  • Time ; It is very important to select the time of the year where children are on holidays as most doctors and those who will attend have kids and they will bring them along for short holiday , statistics show that if we select time where kids are still in school most parents will not leave them , and the registration to seminars will be low. So I think July and August are the months of choice where most kids and students are off school. September they will be back to school. I don’t know about Holland?

 Countdown Item 2: Sales Products

Decide what food freebies you’ll offer and then finalize your ticket or enrollment price. Double-check it against your market research. Is it an appropriate fee for the benefits you’re offering? How does it compare with competitors’ prices? Make sure food can cover those who are vegetarian, those who don’t eat beef or pork etc.

Now that you’ve got your enrollment price down, you can start to work on your sales products like brochures, letters and advertisements and ALWAYS ASK THE ULTRASOUND AND OTHER COMPANIES TO PAY FOR THEM and they will , as long as they be part of the advertisement.

Design your sales materials, and then negotiate prices with printers, choose the best one, and place your print order. Once your materials are printed and ready to go, put together press kits for magazines and send them out. And you can also use the face book, web page, and medical journal in Holland , and university newsletters.

Countdown Item 3: books.

Make all these ready and make many flash drive copies. You also can buy some books in discount price and you can sale them in double price at the conference door and any copies not sold you can return it to the vendor and get refund, select books that related to the seminars.

Countdown Item 4: One Week Ahead

Contact the hotel’s sales or catering people to give them an approximate attendance count and make sure they’ve got everything squared away as by this time you know how many persons are registered and will attend. Think of this as being a friendly nag. If they’re not sure about any item or if they’re not available, keep after them until you know it’s done, and done properly. Let someone else handle this issue so you focus your energy on advertisement and the ultrasound companies.

Countdown Item 5: Two Days Ahead

Call the sales or catering people again and give them your final head count. You can also take this opportunity to check once more that everything’s been taken care of and will be ready for you on arrival. Make sure the hall is ready and the IT computer tech and an electrician is ready also on site to help in case of emergency.

Countdown Item 6: The Day Before the Seminar

If we’re traveling to an out-of-town site, today’s the day we want to arrive. Give yourself plenty of time to recover from jet lag. I will fly 5 days ahead inshallah and prepare for this or one week prior.

We have to familiarize our self with the layout of the room we’ll work, and where the restrooms, pay phones, copiers, restaurants, lobbies and other facilities are located. Go over things like meals and snacks with hotel staff. Make sure all site-provided equipment, things like microphones, projectors, video players and monitors–are present, accounted for, and in good working order. Don’t forget phone and electrical outlets for your electronic card terminal. Check seating arrangements and room temperature. If something isn’t right, complain now instead of having your participants complain tomorrow. Make sure to prepare a list of survey questioners so those who are attending they can evaluate our lecturers , seminars, topics, and add their comments for future use and ask what else they want to add for the next seminars? I can send you a copy of this evaluation sheet.

Countdown Item 7: The Big Day

You and any tech assistants should arrive an hour or even 3 hours early to check the room setup and equipment one more time and the power point projector working order. Set up tables for registration, handouts and products. Get your credit terminal up and running. Remove ashtrays and set out no-smoking signs. Then greet your participants, get going and have fun!

Presenters

I will be your key presenter, you need a moderator someone who can present you and the CEO and present me later , also can show the audience where to go and act as a guide and host for the seminar.

Income & Billing

What can you expect to make as a seminar professional? The amount’s up to you, depending only on how serious you are and how hard you want to work. One of the entrepreneurs promoter in usa brings in annual gross revenues of over $200,000; another brings in more than $130 million. Average annual gross revenues for the seminar and lectures ,so we are just starting .

So if we can manage to bring 300 people as this is a modest estimate , let say 1200 dollars each for 2 days seminar registry not including the hotel. so we look at 306,000 dollars for 2 days seminar. don’t try to make it more than 600 dollars per day cause this seminar will not include hands on work shop.

Seminar professionals generate income by doing more than just giving speeches and supervising workshops. They also earn tidy sums of money from back-of-the-room sales. These are all the peripheral goodies that participants can buy to take home with them T-shirts, hats, cups, posters and souvenir from Holland or your university logo, etc. You can sale items and the profits are all yours.

Public Seminar Pricing

To determine how much you’ll make, you have to figure out how much to charge for your programs, and the best way to do that is to first figure out how much the seminar will cost you .

Marketing

No matter how thrilling, informative, life-affirming or business-rescuing your seminars are, nobody’s going to know about them unless you advertise. As a seminar professional, a great deal of your resources will go into designing and implementing advertising campaigns to take your sales to the limits and beyond. Best and fast method is to do it with MEDICAL Journal. Ultrasound journal, in Holland and Europe, then middleast. Also in USA as USA medical markets are big and they love to go to Europe for the summer. Medical journal such as AIUM JOURNAL, JSDMS THE JOURNAL OS SOCIETY OF DIAGNOSTIC SONOGRAPHERS.

Direct Mail

Most seminar professionals agree that direct mail is the method of choice for advertising to unsolicited sources. What exactly is direct mail? It’s another way of saying mail order and it can take the form of sales letters, brochures, postcards, or any other printed material you send to potential seminar customers. Here in Canada, we pay 2000 dollars to ultrasound society and they will send e mail to every single Canadian sonographers, that’s great and I think you can do that in Holland too just see what ultrasound society they have.

The first thing to do when you start your advertising campaign is to take a figurative step back. Revisit your market research. It should include the following:

  • Who are my potential customers?
  • How many are there?
  • Where are they located? CHAMBERS OF COMMERCE CAN HELP
  • Where do they now find the information I want to provide?
  • What can I offer that they’re not already getting from this other source?
  • How can I persuade them to attend my seminars?

Look over the answers to these questions; then ask yourself some more:

  • What knowledge and skills do WE offer? Ultrasound knowledge.
  • What image do I want to project? Diagnostic know how.
  • How do I compare with my competition and how can I be better?

Once you’ve answered these critical questions and you know exactly who you’re targeting, with what, and why, it’s time to devise your direct-mail piece.

Promotional Kits

Although unsolicited brochures or letters can work wonders, they’re not the only way to go. Some seminar professionals particularly those who do private corporate seminars rather than public seminars, never use unsolicited material at all, relying on referrals from past participants, speakers bureaus and other sundry sources to garner initial interest. Then, when potential clients request information, they swing into promotional mode.
